Three bills, read free in five business days.

Send three bills

Every bill checked, every month

We check every bill against its tariff and your baseline, monthly.

Length
12-month term, then month to month
Price, indicative
From $12 per meter per month, $450 monthly minimum

Each meter bills on its own cycle, and accounts payable pays them all the same way. Bill Desk reads each bill against the rate schedule before payment and files corrections in your name.

From letter to monthly rhythm

  1. Month 1

    Authorize and map

A signed letter of authorization, utility portal access, and every meter tied to a site and GL code.

  2. Month 2

    First full report

Every bill for the month captured and checked, then the first one-page report.

  3. Month 3 on

    The monthly report

One page per portfolio, one row per site, delivered by the 10th business day.

  4. As found

    Errors flagged fast

Within two business days: the line, the tariff section and the amount. Corrections filed in your name.

  5. Each quarter

    Quarterly review call

A 45-minute call with facilities and finance: open disputes, credits received, sites moving off pattern.

  6. Month 13

    Month to month

The 12-month term ends and Bill Desk continues month to month.

  • A monthly CSV export and a bill history kept in your own Portfolio Manager account

Where this program fits

A fit when

  • You have 25 or more meters across sites, utilities or commodities
  • Finance holds the month-end close open waiting on utility bills
  • Facilities and finance disagree on which site used what
  • You want errors caught the month they happen, not three years later

Not a fit when

  • You have fewer than 25 meters; start with the free Three-Bill Read
  • You want someone to pay the bills; your accounts payable team keeps paying them

Example: a dental group across the metro

Example engagement, figures illustrative

A dental group runs 24 offices from Westminster to Castle Rock with 60 electric, gas and water meters. Month one maps every meter and finds two still billing at offices the group left. Month two files one correction for a wrong meter multiplier. From month three, the controller gets one page by the 10th business day.

Questions about Bill Desk

What does a smaller portfolio pay?

The $450 monthly minimum applies until the per-meter fee passes it, at 38 meters. At the indicative from price, a 30-meter portfolio pays the $450 minimum and an 80-meter portfolio pays $960 a month. Larger portfolios are quoted per site, in writing, before work starts.

Who talks to the utility when a bill is wrong?

We do, in your name. Your letter of authorization lets a utility analyst open the billing dispute, send the tariff section and follow the claim until the credit shows on a bill. You approve each filing first, and any refund or credit goes to your account in full.

What do you need from us each month?

Usually nothing. Once portal access is set up, we pull bills ourselves, and paper bills still arriving by mail get scanned by your mailroom to a forwarding inbox. We do ask to hear when a site opens, closes or changes use, so the peg moves only with a written reason.

Do we need a Peg Baseline first?

No. Bill Desk builds a working baseline from the bills it collects in the first months. A Peg Baseline adds interval data, weather normalization and a signed memo, and its $4,800 fee is credited against your first year of Bill Desk, so the two pair well.

What happens if we leave after the first year?

After the 12-month term, Bill Desk runs month to month. If you stop, you keep the Portfolio Manager account, the meter-to-site map and every monthly CSV. The data was yours from the start, so nothing is held back and nothing needs rebuilding.
